Office Calendar Process
Procedures for keeping the public schedule accurate using the two-calendar system: SLAC – Submissions (internal) → SLAC Events (public).

Front desk never posts directly to
SLAC Events. All entries go to SLAC – Submissions first.
Event quality standards
- Clear title (avoid “Game” or “Event”)
- Correct time (start + end)
- Location format: Sparks Lake Activity Center – Nacogdoches, TX
- Description includes key details (who/what/notes)
Front Desk — Add an event (Submissions only)
Google Calendar → choose “SLAC – Submissions”
- Open Google Calendar
- Turn on (view)
SLAC – Submissions - Click the date/time slot
- Set the calendar to
SLAC – Submissions - Fill: title, start/end, location, description
- Use Repeat for recurring activities

If unsure about wording, time, or conflicts: submit to
SLAC – Submissions and notify an owner/admin for review before publishing.
Owner/Admin — Daily publish routine (5 minutes)
Approve by moving Submissions → Events
- Open Google Calendar
- View only
SLAC – Submissionsto review new requests - Scan new events for accuracy + conflicts
- Confirm each: title, start/end, location, description
- Approve by changing the calendar from
SLAC – SubmissionstoSLAC Events - Edit minor issues before publishing
- If major changes needed: leave on Submissions and request updates from front desk
- Turn both calendars on to confirm the public schedule looks correct
Only owners/admin should post directly to
SLAC Events. If you see duplicates, merge or delete the submission version before publishing.
Weekly + Monthly maintenance
Keep Submissions clean + verify repeats
Weekly
- Remove outdated items on
SLAC – Submissions - Check for duplicates
- Verify next week’s high-traffic items are correct
Monthly
- Verify recurring events still apply
- Confirm holiday closures
- Spot-check location/title consistency
If anything looks off on the website calendar, check whether it was published from
SLAC – Submissions correctly and correct it at the source.
