SLAC Event Intake Process

Standard workflow from first contact to completed event

1. Lead Arrives

  • Phone call
  • Website form (ID 7)
  • Facebook message
  • Walk-in
Create a record immediately — never rely on memory.

2. Check Availability

  • Check public calendar
  • Check pending holds
  • Check recurring nights
If unavailable → offer 2 alternate dates

3. Qualify the Event

  • Event type
  • Estimated attendance
  • Indoor / outdoor
  • Hours needed
  • Special setup

4. Explain Facility Status

  • What is finished
  • What is under construction
  • What they will have access to
Never assume expectations — clarify everything

5. Temporary Hold (Optional)

  • Place tentative hold
  • Expires after 48 hours

6. Confirmation

  • Agreement confirmed
  • Deposit received
  • Add to calendar

7. Pre-Event Reminder

  • Send 3–7 days before event
  • Parking instructions
  • Arrival time
  • Rules

8. Day of Event

  • Unlock facility
  • Set lighting/climate
  • Restrooms stocked
  • Trash cans placed

9. After Event

  • Inspect property
  • Note damage
  • Send thank you
  • Mark completed
